SPECIAL CHAPTER PROCEDURES:
1. If school is cancelled before it starts on the chapter's regular meeting day, the chapter will meet the following Tuesday of the next week, but the meeting location will be changed.
2. If school is cancelled during the school day, we will still meet. Members should use their best judgment for their personal safety in their decision whether to attend or not.
3. Delta Kappa Gamma members are unified in their commitment to serve the chapter, the state organization, and the international society. They never say no when asked to serve and participate.
4. The chairman of each committee plans with the assistance of the other members of that committee. All members of a committee are to meet and help in preparations and should contribute equally in the cost of a gift of appreciation if the program includes a guest or guests.
5. The hostess chairman, with the cooperation of the hostess committee members, shall be responsible for the planning of the refreshments and decorations. This includes door prizes, if they are to be given. The preparation for this committee shall be shared by all the members on the committee for that month. The hostess members are expected to come early to prepare and decorate and to stay after the meeting is concluded to make sure all tables and the kitchen are cleaned.
6. The secretary at the church leaves at 3:30. When your committee is in charge of refreshments, someone should arrive at the church before this time. It is also a good idea to call a few days prior to the meeting to confirm our date. Preparations have been made to assist with children. Please call or e-mail Melissa Edwards to inform her that you will need this service.

7. Other chapter customs, traditions, current policies, and procedures:
- The State President is invited to attend a meeting during her biennium.
- The Area Director is invited to a meeting each year.
- Donations are taken at each meeting as a continuing contribution to the Imagination Library.
- Donations are taken at each meeting as a continuing contribution to UNCEF’s “Schools for Africa” program via the "Beta Phi Brag Jar".
- Our Beta Phi Chapter tries to plan their meetings on the same day of the week, same time, and the same place (unless a computer lab is needed), to make it easier for members to schedule. Our Chapter has nine regular meetings and two executive committee meetings. January and February meetings are alternated depending on when the state reports are due for the year.
- Our memorial policy states that a $25 check is to be given to a member’s immediate family (member’s spouse, child, father, mother, brother or sister) to use toward a donation to a school library, church, or benefit of choice.
- Dress for members and inductees attending the induction should be professional attire.
- We involve new members as soon as inducted, naming them on committees and hostess groups to let them feel that they are needed and welcomed. New members will be given a handbook or other appropriate book following induction.
- A red rose with gold streamers will be furnished by the chapter and given to each new inductee.
- A $500 grant-in-aid is awarded each year to a deserving Campbell County or Cumberland Gap high school senior who has completed the chapter application and who plans to major in education.
- $100 is given to the local winners of the High School Essay Contest. The High School Essay Committee can make the award as one amount or divide the total amount among 1st, 2nd, or 3rd place winners.
